When couples begin planning a wedding in Oregon, one of the first questions they ask is simple:What kind of planning support do we actually need?

I’m Caitlin, the founder of Caitlin McDonald Events, a wedding planning and design company serving Bend, Portland, Oregon Wine Country, and Northern California. I work with couples who want celebrations that feel thoughtful, elevated, and deeply personal without carrying the full weight of logistics themselves.

Over the years, I’ve found that choosing between full-service planning, partial planning, and 90-day coordination isn’t about picking a “package.” It’s about deciding how you want the process to feel.

Let’s walk through the differences.

Full-Service Wedding Planning

For couples who want a true partner from the earliest vision conversations to the final farewell brunch.

Full-service planning is our most comprehensive offering, blending logistics, hospitality, and creative direction into one cohesive experience. From budget development and vendor management to design oversight and guest coordination, we handle every layer with intention and precision.

This level of support is especially meaningful for destination weddings and multi-day celebrations.

At a recent wedding at The Allison Inn in Oregon Wine Country, we welcomed nearly 200 guests — many traveling from across the country. With guests arriving from multiple states, the weekend required thoughtful hospitality planning well beyond the wedding day itself.

We managed hotel room blocks across three separate properties, ensuring a seamless arrival experience. Transportation logistics were coordinated throughout the weekend, along with pre- and post-wedding events, including a welcome celebration at Domaine Willamette.

On the creative side, our involvement began long before installations. From sourcing bridesmaid dress swatches to reviewing live floral mockups, to collaborating closely with the stationery team to refine the invitation suite, every visual detail was curated with care. Design was not a last-minute layer — it was integrated into the planning from the beginning.

Behind the scenes, full-service planning included:

  • Comprehensive budget tracking and management

  • Vendor sourcing, contract review, and negotiation

  • Custom floor plans and detailed production schedules

  • Hotel block management and guest transportation

  • Rehearsal oversight and full wedding weekend execution

  • Ongoing communication and strategic guidance from start to finish

The result felt effortless to guests and deeply personal to the couple. The planning behind it was meticulous.

Full-service planning is ideal for couples who:

  • Are hosting a destination wedding in Oregon or California

  • Expect a larger guest count or multi-day itinerary

  • Value immersive design and cohesive storytelling

  • Prefer a calm, experienced partner managing the moving pieces

It allows you to remain present — while we ensure everything unfolds beautifully.

Design-Focused Partial Planning

For couples who have begun planning but want creative direction, refinement, and structure to bring everything together seamlessly.

Design-focused partial planning blends collaboration with leadership. You may have secured your venue or a few key vendors, but you’re looking for professional guidance to elevate the aesthetic, clarify the vision, and ensure that the details feel cohesive rather than pieced together.

This level includes full design concept development, mood boards, aesthetic refinement, vendor recommendations, timeline development, and structured planning support — along with hands-on coordination beginning 90 days before the wedding.

The couple had thoughtfully begun planning but wanted a cohesive visual direction and professional oversight to refine the final layers. We stepped in to lead the design process, developing the creative vision and breathing life into what had previously been a collection of ideas.

Instead of rebuilding the framework of the wedding, we stepped in to clarify and elevate it. The foundation was there — what it needed was cohesion and direction.

We translated their inspiration into a defined visual language, refining color palettes, balancing textures, and ensuring each design decision supported the overall atmosphere they wanted to create. Rentals were thoughtfully curated, floral elements were shaped to complement the setting rather than compete with it, and stationery details were adjusted so everything felt harmonious rather than layered on.

What had started as beautiful ideas became a fully realized garden experience: polished, intentional, and distinctly theirs.

Behind the scenes, partial planning meant:

  • Developing a clear design direction and visual narrative

  • Sourcing and managing florals, rentals, and stationery

  • Refining timelines and floor plans

  • Aligning vendors around one cohesive vision

  • Providing structured planning support leading into the final 90 days

This level is ideal for couples who:

  • Enjoy being involved in the planning process

  • Have secured a few foundational vendors

  • Want expert creative leadership without full logistical takeover

  • Value design cohesion and elevated detail

It offers both creative clarity and structured support — without removing you from the process.

90-Day Coordination

For couples who have thoughtfully planned their wedding but want a steady, experienced hand in the final stretch.

90-day coordination begins three months before your wedding. By this point, most major vendors have been secured and the overall vision is in place. Our role is not to redesign or re-plan — it’s to step in, review every moving piece, and ensure nothing is left to chance.

We carefully examine vendor contracts, refine the wedding day timeline, confirm logistics with each creative partner, and build a detailed floor plan so the day flows seamlessly.

A beautiful example of this was a spring wedding at Villa Montalvo.

The couple had already booked an incredible team of vendors and had done a thoughtful job shaping their celebration. When we stepped in, our focus was clarity and cohesion. We reviewed load-in and load-out schedules, aligned vendor arrival times, finalized production details with the venue, and mapped out the precise timing for personal moments — including outfit changes and transitions throughout the evening.

We also managed the setup of meaningful personal décor pieces, ensuring everything was placed with care while allowing family members to remain fully present.

Behind the scenes, 90-day coordination includes:

  • Comprehensive review of vendor contracts and logistics

  • Detailed timeline refinement and management

  • Creation of custom floor plans and layout diagrams

  • Direct vendor communication beginning at the 90-day mark

  • Ceremony rehearsal oversight

  • Full wedding day execution and troubleshooting

This level of support is ideal for couples who:

  • Have secured their vendor team

  • Feel confident in their design decisions

  • Want professional oversight to protect their investment

  • Don’t want family or friends managing logistics

It provides calm structure at exactly the moment it’s needed most.

How to Decide What You Need

Ask yourself:

  • Do we want to be deeply involved in every decision?

  • Are we comfortable negotiating vendor contracts?

  • Do we have time to manage guest logistics?

  • Are we planning multiple events across a weekend?

  • Do we want creative leadership from the beginning?

If you want to feel guided from the very first decision, full-service is often the right fit.

If you’ve started but want elevated structure and design clarity, partial planning may be ideal.

If you’ve thoughtfully handled the details and just need a steady hand in the final months, 90-day coordination provides that transition.

Planning Weddings in Oregon & California

Because we plan weddings across Bend, Portland, Oregon Wine Country, the Columbia River Gorge, and Northern California, each service is adapted to the unique demands of the location, whether that means managing mountain venue logistics, vineyard guest transportation, or urban vendor production timelines.

No matter the level of support, our goal remains the same: To create an experience that feels intentional, seamless, and distinctly yours.

Frequently Asked Questions

When should we hire a wedding planner?

Ideally 12–18+ months before your wedding for full-service planning. For partial planning, the earlier the better. Coordination begins at the 90-day mark.

Can we upgrade our service level later?

Depending on availability and scope, we’re happy to discuss expanding support as planning evolves but do not guarantee this from the time of booking.

Do you plan multi-day wedding weekends?

Yes. Full-service planning can include welcome parties, rehearsal dinners, after-parties, and farewell brunches.

Do you plan weddings outside of Bend and Portland?

Yes. While we frequently plan weddings in Bend, Portland, and Oregon Wine Country, we also serve the Columbia River Gorge and select Northern California destinations.

Is 90-day coordination enough for a private estate wedding?

Private homes and estate properties often require infrastructure planning, production oversight, and early logistical management. In those cases, full-service planning ensures the appropriate level of hands-on support.

Should I hire my wedding planner or choose my venue first?

Most couples book their venue first, especially in competitive markets like Bend, Portland, and Oregon Wine Country. However, hiring your wedding planner early can help you evaluate venues strategically and avoid costly logistical oversights.

Final Thoughts

Choosing your level of planning support isn’t about picking a package — it’s about choosing the experience you want throughout your engagement.

Whether you’re envisioning a refined Portland celebration, a food-forward wine country weekend in Sonoma, or a destination wedding in Bend, the right level of support ensures the process feels as thoughtful as the day itself.

If you’re searching for a wedding planner in Oregon or Northern California and want support that feels thoughtful and intentional, I’d love to connect.
