It's no secret to our readers, clients and partners that we have a firm belief that flowers are EVERYTHING. Well, flowers and linen, of course (see: linen obsessed). To us, flowers have a way of being the cherry on top to a design. They can bring added romance, the hint of curated artistry you're wanting or simply exist to creating framing, texture, depth, and more.
Florals are one of the most transformative elements of a wedding day. They set the tone, express your personal style, and visually anchor everything from the ceremony to the reception. The bouquet you carry, the installation framing your vows, the candlelit tables at dinner — each floral moment contributes to how your wedding feels (and smells!!!)
Choosing the right floral partner is one of the most important design decisions you’ll make when it comes to the overall aesthetic and cohesion throughout, and it’s one we guide our clients through very thoughtfully at Caitlin McDonald Events.

Begin with Aesthetic Alignment
Every floral designer has a distinct point of view and specific style of artistry. Some are known for greenery-forward, organic compositions, while others specialize in lush, bloom-heavy arrangements. Some designs feel soft and romantic, layered with texture and movement, while others lean sculptural and modern.
When comparing florists, the most important question to ask is whether their existing body of work already reflects the style you’re drawn to. It is far more powerful to hire an artist whose portfolio consistently embodies your vision than to expect someone to completely reinvent their aesthetic for your wedding. When a florist is designing within their natural creative language, the result feels cohesive, confident, and elevated.
Consider the Full Scope of Design
Florals extend far beyond the bridal bouquet. Ceremony structures, aisle markers, cocktail arrangements, reception centerpieces, overhead installations, and repurposed elements all require careful planning and coordination. An experienced floral partner understands how to scale design across an entire wedding weekend, ensuring that each event feels connected while still distinct.
They also understand the mechanics behind the beauty. Large-scale installations must be structurally sound, weather-conscious, and able to withstand guest interaction while still photographing beautifully. The most stunning designs are supported by thoughtful engineering and seamless execution behind the scenes. Our most favorite thing to do during the planning and design process is our one-on-ones with florists. We sit down with them, start with your base linen selections, and build up from there. After this meeting, we typically present something in depth and creative to the client. This way, we have plenty of photos and mockups to showcase the vision and give you a peek into our design brain!
Evaluate the Level of Service
Not all floral teams operate the same way, and understanding their level of service is just as important as loving their style. Some florists provide detailed visual design decks, while others present itemized proposals. Some handle candles, vessels, and styling elements in addition to blooms, while others focus strictly on floral product.
It’s important to clarify what is included in their proposal, how repurposing is managed, and whether mock-ups are available. Beyond aesthetics, you want a partner who provides clarity, organization, and confidence throughout the process. With our clients ,we usually zoom or meet in person to go over floral proposals together, and then we have a follow up meeting with the florist to clarify any questions.
Be Strategic with Investment
A talented floral designer knows how to guide you in allocating your investment for maximum impact. In some cases, that might mean creating a greenery-forward ceremony structure with bloom-heavy arrangements that can later be repurposed for the reception. In others, it may involve investing in one dramatic, bloom-rich installation that becomes a focal point and photo moment for the entire evening. For more immersive designs, layering texture and florals throughout the space may be the priority.
There is no single “correct” approach — only what aligns best with your aesthetic and priorities. The right floral partner helps you balance visual impact with thoughtful budgeting, ensuring that every dollar contributes meaningfully to the overall experience.
The Role of Trust in Exceptional Design
If there is one factor that consistently elevates floral design from beautiful to extraordinary, it is trust.
Florists are artists with a deep understanding of seasonality, sourcing, color harmony, and texture. They know which varieties are thriving at the time of your wedding and how to subtly adjust selections to enhance the overall palette. While inspiration images are helpful, they can never fully capture the nuance of what is available in real time.
When you trust the artistry and vision of your florist, you create space for them to do their very best work. That trust allows them to design intuitively, source more thoughtfully, and push creativity in ways that ultimately benefit you. The most breathtaking weddings often share this common thread: a client who felt confident enough in their team to say, “We trust you.”
That confidence is what unlocks truly inspired design.
Our Approach at Caitlin McDonald Events
We maintain a carefully curated network of floral partners because alignment matters not only aesthetically, but operationally and personally. We evaluate experience, scalability, service level, and artistic consistency before making recommendations. On top of that, we've seen what florists can bring to the table when they feel like a valuable partner to the design team.
For our booked clients, we share high-level floral comparison guidance to help them thoughtfully evaluate options and make confident decisions. This deeper strategic support is part of the planning experience we provide once a client is officially on our calendar.
Our role is not simply to help you hire a florist. It is to ensure that the artistic partner you choose is the right fit for your wedding as a whole. When vision, expertise, and trust come together, florals do more than fill a space — they transform it.
And that transformation is what makes a wedding unforgettable.
